The Assistant Manager’s Main Responsibilities will be to: • Fulfill daily secretarial tasks; • Take phone calls and handle them when appropriate; • Receive guests and inform the contact people in the company; • Ensure the protocol during meetings; • Maintain and update the business agenda for the general manager; • Deal with incoming email, faxes and mail, often correspond on behalf of the general manager; • Elaborate the business correspondence necessary for the daily activities; • Facilitate the official company correspondences with public authorities and third-party business partners; • Take, register and distribute the correspondence to the departments involved; • Translate the official documents and correspondence (English to Romanian or Romanian to English) when needed; • Elaborate and verify documents and reports required by the management; • Organize the company documents, including data management; • File and archive the correspondence and messages received from partners, clients and other employees; • Update the documents data base; • Send / receive documents through mail, fax, e-mail; • Ensure administrative support for all the company’s departments; • Purchase the consumable office requisites and other materials necessary for the office; • Participate at organizing events withing the company; • Ensure the travel logistics for the company management (hotel reservations; transport); • Accompany the official delegates during business visits in Romania or abroad.
Regarding the Education, Knowledge, and necessary Qualifications, the person we are looking for: • Has advanced English skills (written and oral communication); • Has advanced Excel and PowerPoint skills; • Courses: secretary, office, personal development, other (preferred); • Possesses a type B driving license (preferably); • Speaks another foreign language (preferably); • Has no trouble with Romanian grammar. In what concerns the Work Experience, our best candidate has: • At least 2 years’ work experience; • Relevant experience on an assistant manager / secretarial / PR / customer relationship position or similar; • Experience with data analysis & reporting and with presentations for the management; • Experience with documents management (preferably); • Experience in a technical environment (preferably).
