SUMMARY OF ROLE This is a key administrative role within the Emerson Project team. The document controller provides support to the Emerson project team in order to ensure that all project documents are managed correctly. The main responsibility of a documentation controller is to record, track and report the status of the documents to the customers, suppliers and the project team giving a quality service. PRINCIPLE JOB RESPONSIBILITIES * Collects and organizes the electronic documentation from the Project Team/Technical Team storing it on SharePoint or on DocPro. The documentation controller will ensure the document management sites (DocPro and SharePoint) are kept up-to-date, the project documentation is stored in the correct location within these sites and in good order. * This may involve scanning documents, copying documents, physically or electronically filing documents, organizing documents and ensuring documents are saved and safeguarded from theft or destruction. It also usually requires Document Controllers to adhere to a retention schedule, meaning they must know the proper ways and times to destroy old documents. * Ensures document revisions are tracked and version numbers are updated appropriately, implementing the document life cycle, in SharePoint and DocPro. * Distributes the final documents to customers/suppliers in an accurate and timely manner. * Develops and mantains effective communication with the Customer/Supplier/Project Team. * Responds efficiently to documentation requests and queries from Customer/Suppliers/Project Team. * Creates reports that reflect the status of documents upon request by the Project Team. * Creates Manufacturing Record Books according to the Project Team/Customer requirements in Adobe PDF (front sheets, bookmarks, etc). * Is familiar with corporate record retention policy and review at least annually. * Archives soft copies of documentation. * Document Controllers may also be tasked with training employees in the proper way to create or fill out company documents. In large organizations they may oversee a staff of document specialists and be responsible for training them on the documents and systems in place. They may also assist clients with filling out proper paperwork and with the filing process of the documents.
